Privacy Policy

This policy explains how DialBase collects, uses, shares, and protects information in connection with its website, demo requests, onboarding, and clinic intake services.

1. What DialBase does

DialBase provides intake infrastructure for clinics. The service can answer after-hours or overflow calls, capture patient intent, qualify basic inquiry details, and send structured handoffs to the clinic team.

DialBase is not a healthcare provider and does not provide medical advice, diagnosis, treatment decisions, or emergency services.

2. Information we collect

We may collect business contact information, clinic details, demo request information, onboarding information, and messages you send to us.

When a clinic uses DialBase for intake, we may process information shared during a call or form submission, such as name, contact details, preferred language, treatment interest, timeline, and other details needed for clinic follow-up.

We may also collect technical information such as device, browser, log, and usage data to operate, secure, and improve the service.

3. How we use information

We use information to provide demo lines, operate intake workflows, prepare clinic handoffs, support users, troubleshoot issues, protect the service, and improve DialBase.

We do not sell personal information. We do not use patient intake information for advertising.

4. How we share information

We may share intake information with the clinic that requested or operates the DialBase workflow so the clinic can follow up with the patient.

We may use trusted service providers for hosting, communications, forms, analytics, payments, support, and security. These providers may process information only as needed to provide services to DialBase.

We may disclose information if required by law, to protect rights and safety, or as part of a business transaction such as a merger, acquisition, or financing.

5. Healthcare and sensitive information

Some intake information may be sensitive. Clinics are responsible for obtaining any required patient consents and for using DialBase in a manner consistent with their legal and professional obligations.

If a clinic requires a business associate agreement or other healthcare-specific data protection terms, those terms must be agreed separately before DialBase processes protected health information for that clinic.

6. Security and retention

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system can be guaranteed to be completely secure.

We retain information only as long as reasonably needed for the purposes described in this policy, unless a longer retention period is required by law, contract, security, or legitimate business needs.

7. Your choices

You may contact us to request access, correction, deletion, or restriction of personal information, subject to legal, contractual, and operational limits.

If you are a patient of a clinic using DialBase, you may also contact the clinic directly regarding your health information and follow-up preferences.

8. International data

DialBase may process information in the United States, Canada, and other locations where we or our service providers operate. Privacy laws may differ by location.

9. Changes

We may update this policy from time to time. The latest version will be posted on this page.
